AI chatbots used to be clumsy menus that frustrated customers. Modern AI assistants are different: they can read your own business information and answer questions in plain language. But that doesn’t mean every business needs one.

Signs an AI assistant will pay off

  • You answer the same questions every day. Opening hours, prices, location, parking, what to bring. These are exactly what an assistant handles well.
  • Enquiries arrive outside working hours. If people visit your site in the evening or at weekends, an assistant can answer them and take their details before they move on to a competitor.
  • You take bookings. An assistant that can check availability and book appointments turns a question into a customer in one conversation.
  • Your team is stretched. Every repeat question answered automatically is time back for the customers in front of you.

When it probably isn’t worth it yet

  • You get very few website visitors. Fix your website and Google presence first.
  • Every enquiry is complex and needs a long conversation with you.
  • You don’t have basic information written down, such as prices and policies. The assistant needs something accurate to learn from.

The difference between a good and a bad assistant

A bad assistant tries to answer everything and makes things up. A good one has three qualities:

  1. It answers from your information only. It is set up with your services, prices and policies, and it sticks to them.
  2. It knows when to hand over. If it isn’t sure, it collects the customer’s name and contact details and passes the question to you.
  3. It is reviewed. Someone checks conversations regularly and improves the answers over time.

This approach is often called retrieval-augmented generation: the assistant looks up the relevant part of your own information before it replies, instead of relying on general knowledge.

What it costs

Costs depend on how much it needs to do. A simple question-answering assistant costs less than one that books appointments and connects to your calendar and CRM. There is also a small running cost for the AI itself, which for most small businesses is modest.
